Meta is seeking an experienced Executive Administrative Partner to support the Whatsapp Scaled Support Operations team. The ideal candidate will have exceptional communication skills and will have the ability to partner closely with the broader team and other cross functional teams. This person should be process focused, highly organized, energetic, detail oriented, a problem solver and exhibit sound judgment.Scaled Support Operations is a global multi-function team that comprises Outsourced Vendor Management, Reporting & Analytics, Tools, Training and Quality functions. These teams partner to deliver scaled customer support across our family of products in close partnership with several cross functional teams. This position is full-time and located in Dublin.
Executive Assistant Responsibilities:
- Coordinate internal and external meetings for multiple Executives
- Manage hectic and complex calendars
- Work cross functionally with a global admin team to organize schedules and meetings
- High response rate to emails, messages, and other communications
- Maintain spreadsheets, contacts, distribution lists, etc
- Prepare expense reports
- Coordinate domestic and international travel arrangements and visas
- Ensure and maintain confidentiality of all appropriate communications and documentation
- Communicate daily with internal and external customers, prospects, partners, and vendors while exhibiting the highest degree of professionalism, courtesy and diplomacy
- Track, prioritize, and assign all incoming written and oral communications, as necessary, to appropriate person(s) for response
- Prepare purchase orders and follow up on vendor inquiries
- Take ownership of your organization’s people and business priorities/needs
- Perform the supplier management function in collaboration with the business Develop strong partnerships with Procurement Operations, Accounts Payable, and Legal teams
- Wil play a key role in WhatsApp Dublin site - needs to be proactive leader in creating site-level identity, community, engagement - manage leadership visits, swag, happy hours etc
- General office duties as needed
- Manage, coordinate, and support special projects as needed
Minimum Qualifications:
- 4+ years of full-time, administrative experience directly supporting 2 or more Executive members (Director Level or above)
- 4+ years of experience coordinating travel logistics on behalf of 1 or more Executives
- 4+ years of direct calendar management and expense report management for 1 or more executives
- Excellent computer skills and comprehension of Outlook
- Ability to prioritize multiple assignments quickly
- Comfortable with giving and receiving feedback
- Excellent communication skills
- Ability to multi-task and change direction quickly
- Strong execution-Incredibly organized and detail-oriented
- Operate independently, pick up cues and run with things, strong judgment
